Quickly find a meeting time that works for everyone with Approved Contact + Microsoft Teams

Scheduling a meeting should be simple. If all your participants work for the same company, you just check calendars and book a time that works. But when you can’t view calendars that are external to your company, it gets more complicated. It can take hours or even days to receive responses from attendees about their meeting availability. The Approved Contact application for Microsoft Teams resolves this challenge, making it easy to quickly find a meeting time that works for everyone.

Teams is the hub for teamwork in Microsoft 365, where you can chat, meet, call, and collaborate all in one place. It’s easy to integrate Approved Contact with Teams, so you can schedule meetings with external participants who are using various calendaring systems.

View external participants’ calendars from Teams

Start by creating a Teams site for colleagues across organizations, and then invite them to sign into the Approved Contact calendar app. The app syncs calendars and contacts for all your users—whether they use Microsoft Outlook, Gmail, or most other email solutions.

Calendars and contacts are synced automatically.

With calendars synced, you can compare available times right from Teams. The meeting command feature lets you find the soonest open time for all team members, or you can consider all free times with a weekly or daily view.

Book meetings that include video conferencing

When you’ve found a time that works for everyone, it’s easy to schedule a meeting from the Approved Contact app in Teams. Select the video conference provider, send to the participants, and then the meeting will appear on your calendar.

Seamlessly schedule meetings with other companies right from Teams.

Communicate more efficiently

The Approved Contact app provides several capabilities that make it easy for your customers, suppliers, and partners to work with you. You can make your available meeting times viewable for easy scheduling. If you work with people in different time zones, you don’t have to worry about accidentally scheduling a meeting in the middle of someone else’s night. Times zones are automatically populated, so you can quickly see which times are best for your global meeting. If you have a meeting participant who isn’t part of the team, you can add them to the meeting by supplying their email address.
